Integrated Digital Conference System Solution

I. Industry Background
• With the remarkable enhancement of China’s national strength and the rapid advancement of modern information processing technology, enterprises, public institutions and other organizations have put forward increasingly high requirements for office modernization. Accordingly, meeting rooms have evolved from simple communication venues centered merely on listening and speaking into multi-functional comprehensive hubs for information resource exchange. A wide array of electronic devices including slide projectors, video projectors, video recording and playback equipment, and sound reinforcement systems have been widely deployed in meeting spaces. This has rendered conference system configurations more professional and their functions more powerful. For this reason, modern conference systems are generally referred to as multimedia conference systems, and great changes have taken place in the design of such systems.

II. Demand Analysis
• Guided by the development philosophy of "demand-driven, forward-looking, feasible implementation and sustainable development", the meeting room construction project aims to build an integrated venue that supports daily meetings, video conferences and multi-functional events. The design shall feature advanced concepts, stable system operation, comprehensive functions and efficient command and control.
1. The system shall support convenient and rapid management of all video and audio subsystems.
2. It shall enable free switching of all signal sources in the meeting room for playback on any high-definition display device.
3. The audio sound reinforcement system shall be user-friendly and functionally flexible to meet diverse conference requirements.
4. A centralized control system shall be deployed to enable quick and easy management of the entire system.
5. The system shall be equipped with voting and election functions.
6. It shall satisfy the demands for conference discussion and ballot voting.

IV. Design Scheme
• We propose an optimal solution to build an integrated meeting room that caters to both daily conferences and video conferences, and the system has the following core advantages:
1. The system provides high speech intelligibility across the entire venue and maintains sufficient sound pressure levels that support long-duration operation. Under normal working conditions, all parameters of the sound reinforcement system meet the national Class I industrial standards for mixed speech and music applications.
2. Loudspeakers deliver uniform sound and consistent frequency response coverage across the entire service area. The appearance and installation positions of the speakers will not damage the overall interior style of the venue.
3. No obvious acoustic defects, including echo, flutter echo, or sound focusing, will occur at any position in the venue. (Note: If the necessary sound absorption treatment is not completed during venue decoration, manual auxiliary measures shall be adopted during meetings for acoustic compensation, for example, fully drawing the thick fabric curtains.)
4. Multiple system protection mechanisms are configured to ensure long-term stable and reliable operation of the audio system, and quickly protect speakers and other audio equipment from damage when emergencies occur.
5. Speakers adopt one-to-one constant-impedance transmission, with impedance matching between speakers and power amplifiers. Full-range wide-frequency speakers are used to restore the optimal sound quality. The sound reinforcement system features simple operation and flexible functions to meet the requirements of various conference scenarios.
6. The digital conference system adopts daisy-chain wiring. The portable daisy-chain discussion units have an elegant appearance and allow for flexible installation. The solution requires minimal cabling without damaging the overall decoration layout, delivers high-quality sound, and has a pickup distance ranging from 50 to 80 centimeters.
7. The host unit of the conference discussion system supports multiple working modes for user-friendly operation: First-In First-Out Mode, Normal Mode, Restricted Mode, Free Talk Mode, Request Mode, and Voice-Activated Mode.
8. The central control host can be programmed to remotely control the PTZ rotation, lens zoom, and focus of surveillance cameras. It can link with the conference host unit to enable camera tracking and capture close-up shots of speaking participants.
9. The audio and video input signals of the meeting room include camera signals, DVD audio & video signals, laptop/PC audio & video signals, etc. The output signals cover projector and TV signals. All audio and video signals are switched and routed through a video matrix.
10. The meeting room will be equipped with a hybrid HD matrix with optional signal interface cards that support VIDEO, S-Video, VGA, YPbPr, DVI, HDMI, SDI, Fiber and twisted pair (HDBaseT) signals.
11. When matched with transmitters, the hybrid HD matrix supports bidirectional transmission of IR and RS-232 control signals. The matrix can be controlled through three methods: RS-232, Ethernet, and physical buttons.
12. The central control system implements matrix switching, camera control, projector control, projection screen lifting/lowering, power management, volume adjustment, DVD player control, motorized curtain control, and air conditioner control. It enables convenient and rapid centralized management of all audio and video subsystems in the meeting room.
13. The central control host fully supports remote network control with a built-in Ethernet port and network cascading capability. It is compatible with iPad/iPhone handheld terminals, which can communicate with the host via Wi-Fi.
